How secure is employee salary and PAN data in cloud-based HR software?

Reputable cloud HR platforms protect salary and PAN data through encryption, access controls, regular backups, and security certifications such as ISO 27001 and SOC 2 — often a higher standard than a small company could maintain on its own servers or in spreadsheets. Security depends on the specific vendor, so it should be verified rather than assumed.

Before trusting a platform with sensitive data, confirm: where the data is physically stored (India data residency is increasingly expected under the DPDP framework); the vendor’s certifications and audit history; how data is encrypted in transit and at rest; role-based access so only authorised staff see salary details; and backup, recovery, and breach-notification policies. Ask for these in writing during evaluation.
